Med Spa Staffing Plan: Roles You Need Before Opening
A med spa staffing plan should define who owns the work before the clinic opens. Even a small team needs clear roles for clinical supervision, client experience, front desk, treatment delivery, documentation, follow-up, inventory, finance, and management review.
Core leadership and advisor roles
Before launch, identify the owner/operator, medical director or supervising provider where required, clinic manager, healthcare attorney, CPA/bookkeeper, insurance broker, HR/payroll support, and compliance/privacy advisors. The medical director relationship should be documented and reviewed according to state rules; do not rely on vague verbal expectations.
Client-facing team roles
Most clinics need some combination of front desk/reception, patient care coordinator, licensed providers, aesthetician or skincare specialist, injector, laser technician where permitted, and retail or membership support. Role titles matter less than clarity: who answers leads, who confirms appointments, who handles consult prep, who documents, who follows up, and who escalates concerns?
Back-office roles
Bookkeeping, payroll, vendor management, inventory, marketing, website, reviews, KPI tracking, and staff scheduling must be assigned even if outsourced. If nobody owns these tasks, the owner becomes the default bottleneck.
Create a simple org chart
A startup org chart can be simple: owner at the top, medical direction/supervision clearly shown, manager handling daily operations, providers handling services, front desk owning client flow, and outsourced advisors around the business. Update it as the clinic grows.
